State Festival Refund Policy

Texas Thespians is offering the following Refund Policy for State Festival 2025
  • September 15th-October 17th, 2025: 100% refund from Texas Thespians on all fees
  • ​October 18th-October 31st, 2025: 50% refund from Texas Thespians on all fee
  • After October 31st, 2025: NO refunds offered by Texas Thespians

How to Register for State Festivals

Collect the following documents before starting registration: 
  • TROUPE AGREEMENT FORM signed
  • CONSENT FORM for each attendee, including adults/chaperones
You will also need:
  • A headcount of total number of attendees
  • Amount of Double and King Rooms needed 
  • Hotel check-in and check-out dates

State Festival Hotel Information

​​Texas Thespians has contracted hotel rooms at discounted rates on your behalf. If our contracted housing obligations are not met, we pay a fee to the hotels. All schools staying outside of the Texas Thespians Hotel Block will be charged an extra $50 per delegate.  

You will enter your requested hotel information during the registration process. Texas Thespians Staff will contact you to book your rooms after registration closes and your students are all entered.

Hotel Information
  • We can NOT guarantee roll-away beds in King rooms. 
  • Rooms are limited at Embassy Suites and Great Wolf Lodge​.
  • Book hotel rooms responsibly ! Once the room is booked, we consider it sold. This prohibits others from buying it.

  • Omni Hotel- $190 per room, per night
  • Holiday Inn Marina - $190 per room, per night 
  • Best Western- $190 per room, per night, & breakfast

  • Gaylord - $230 per room, per night
  • Great Wolf - $210 per room, per night
  • Embassy Suites - $210 per room, per night, & breakfast
  • Hilton Garden Inn - $230 per room, per night, & breakfast
  • Towne Place Suites - $230 per room, per night, & breakfast
  • Courtyard Marriott - $230 per room, per night, & breakfast
  • Hilton DFW Lakes- $230 per room, per night
IMPORTANT NOTICE: 
Sham and deceptive housing companies are approaching Thespian participants and exhibitors with fraudulent offerings of hotel rooms at significant discounts.  Lured by highly attractive rates, exhibitors and attendees fall prey to these impostors losing significant deposits, discovering hidden costs, up front charges or being bait and switched to hotel rooms they never booked (meaning: if you do decide to use these callers you will likely find out upon arrival that you have been scammed as you won’t have a reservation). 

These companies are in no way affiliated with Texas Thespians or the official hotels in Grapevine, TX.  They troll the internet and association web sites looking for annual events and then gain access to email addresses for direct contact or draw attendees to their web sites posing as your association’s sanctioned housing provider.  Do not give them your credit card information.

Amy Jordan is the ONLY official contact for Thespian HOUSING  and will contact you directly to make a reservation. Booking through our normal registration processes as we have in years past is the official channel for booking and ensures you will be working with a reputable company, (direct with the property we are contracted with) and that your credit card information is secure, and that you will benefit from all services provided to conference attendees/participants at the official hotels.

If you are contacted by anyone asking if you need a room reservation for the convention or if they represent themselves as the "Official Texas Thespian housing provider,” please get as much information as you can, then contact Texas Thespians immediately. It is our goal to provide a safe and secure registration process for our delegates. ​
